Our Approach to the Protection of Personal Information

Groove Agent Inc. (Zero Renovation)(hereinafter referred to as “the Company”) recognizes that the appropriate management of personal information obtained from customers and other parties in various business operations, as well as the personal information of our employees, is an important social responsibility. The Company complies laws and regulations concerning the protection of persona information and explain our handling and protection of such information based on the provisions of the Personal Information Protection Act as follows.


(1) Approach to Protecting Customer Information

To ensure the smooth operation of our business, the Company collects and uses information such as customer names, addresses, telephone numbers, and email addresses. The Company recognizes the proper protection of such customer personal information (hereinafter referred to as “Customer Information”) as a critical responsibility and, to fulfill this responsibility, handles Customer Information under the following policies:

  • The Company will comply with all applicable laws and regulations concerning the protection of personal information and handle Customer Information appropriately, while striving for continuous improvement.
  • The Company will establish clear rules regarding the handling of Customer Information, ensure these are thoroughly communicated to employees, and request that business partners also handle Customer Information appropriately.
  • When collecting Customer Information, the Company will specify and notify or publicly announce the purpose of use, and will handle Customer Information only in accordance with that purpose.
  • The Company will implement necessary measures to prevent leakage, loss, alteration, or other risks to Customer Information and manage it appropriately.
  • The Company will accept requests from customers themselves for disclosure, correction, deletion, or suspension of use through designated contact points and addressed in good faith.

(2) Purpose of Use of Customer Personal Information

Customer personal information is used for the following purposes:

  • Communications, information provision, and sales activities related to services such as home renovation, remodeling, repair, and new construction, as well as related businesses.
  • Conclusion and performance of contracts for design, construction, supervision, and other services.
  • Responses to inquiries and consultations, record management, and provision of after-sales support such as inspections and repairs.
  • Planning, research, development, and improvement of services; promotional activities; direct marketing by email; and customer satisfaction surveys and questionnaires.
  • Investigations, analyses, evaluations, applications, and other procedures (e.g., financing or insurance) necessary to achieve the above purposes.
  • Execution of outsourced operations and provision of information to third parties within the scope necessary to achieve the above purposes.
  • Other matters incidental or related to the above.

The Company will use collected personal information only within the scope of the stated purposes and will implement measures to prevent use for any other purposes.


(3) Disclosure and Provision of Customer Information to Third Parties

Except where described in (2) above or in the following cases, the Company will not disclose or provide Customer Information to third parties:

  • When the customer has given consent.
  • When disclosure or provision is required by law.
  • When necessary to protect human life, body, or property and it is difficult to obtain the customer’s consent.
  • When especially necessary for the improvement of public health or the sound development of children and it is difficult to obtain the customer’s consent.
  • When cooperation is required for a national or local government agency, etc., in the execution of public duties, and obtaining the customer’s consent could impede the execution of such duties.

(4) Disclosure of Customer Information

When a customer requests disclosure of their information held by the Company, the Company will confirm that the requestor is the individual concerned and will respond within a reasonable period and scope.


(5) Correction of Customer Information

When a customer requests correction, addition, or deletion of their information held by the Company, the Company will confirm that the requestor is the individual concerned and, if the information is found to be inaccurate, correct, add to, or delete such information within a reasonable period and scope.


(6) Suspension or Erasure of Use of Customer Information

When a customer requests suspension or erasure of their information held by the Company, the Company will confirm that the requestor is the individual concerned and will suspend or erase the use of such information within a reasonable period and scope. Please note that if some or all of the information is suspended or erased, the Company may be unable to provide certain services as requested. (Please note that information retained in accordance with relevant laws and regulations may not be subject to suspension or erasure.)


(7) Requests for Disclosure of Customer Information

Requests regarding disclosure, correction, deletion, or suspension of use of Customer Information held by the Company will be accepted as follows. Please note that requests not made in accordance with the methods below may not be accepted.

Requests should be made by post or email to the contact below. Details of the procedure will be provided upon request. After verifying the identity of the individual (or their representative) through the methods described below, the Company will respond in writing or by other means. Depending on the nature of the request, submission of designated forms may be required.

Verification of Identity (Individual or Representative):

  • For requests from the individual: verification by official documents such as driver’s license, photo-bearing residence card, passport, health insurance certificate, or seal registration certificate; callback to the registered telephone number; or confirmation of registered information (name, address, telephone number, customer number, account number, or credit card number).
  • For requests from a representative: verification by power of attorney and seal registration certificate, as well as confirmation with the individual by telephone or other means.

(8) Handling of Information of Corporate Customers

With respect to information relating to corporate customers, the Company will handle such information appropriately and in accordance with applicable laws, taking into account the purpose of use and the nature of the information.


(9) Cookies

This website may use cookies to provide users with customized services. Cookies are used to enhance convenience when users revisit the site, and do not infringe on users’ privacy or adversely affect their computers.

To maintain appropriate protection of personal information, the Company has established a Personal Information Protection Management System, conducts periodic audits of its operation, and strives for continuous improvement.


(12) Revisions to the Privacy Policy

The Company may review and revise this Privacy Policy as necessary. In such cases, the revised Privacy Policy will apply from the date of publication.
